Privacy policy

Last updated: 1 April 2026

Meridian Preparatory Academy("the School", "we", "us") respects your privacy. This Privacy Policy explains how we collect, use, store, and share personal information when you use our website, parent portals, mobile-friendly services, and when you make fee payments through our authorised payment gateways. By using our services, you acknowledge the practices described below.

1. Who this policy covers

This policy applies to parents and legal guardians, prospective applicants, students (where applicable under parental authority), employees, and visitors who interact with our digital services.

2. Data we collect

We may collect the following categories of information, depending on your relationship with the School:

  • Identity and contact data: names, addresses, phone numbers, email addresses, government identifiers where required for regulatory reporting, and emergency contacts.
  • Student records: academic performance, attendance, health information shared with consent, disciplinary notes where permitted by law, and participation in activities.
  • Financial data: fee invoices, payment history, and transaction references. Card and bank account numbers are processed by our payment partners; we typically receive only masked identifiers and confirmation statuses.
  • Technical data: IP address, browser type, device identifiers, and logs when you use our website or portals—used for security and troubleshooting.

3. How we use personal data

We use personal information to:

  • Deliver education, administer admissions, and maintain student records;
  • Communicate with families about academics, events, fees, and safety;
  • Process fee payments and reconcile accounts;
  • Comply with legal obligations, including CBSE or other board requirements;
  • Protect the welfare of students and staff, including safeguarding and campus security;
  • Improve our services and, in aggregated form, understand usage trends.

Where consent is required under applicable law (for example, certain marketing communications or sensitive health data), we will obtain it separately and you may withdraw consent subject to contractual or legal constraints.

4. Payment gateways and third-party sharing

Online payments are processed by Razorpay or other payment service providers we engage. When you pay fees, you are subject to that provider's privacy policy and terms in addition to ours. Razorpay receives the payment details you enter on their secure checkout page; the School receives payment confirmations and metadata needed for accounting.

We may also share limited personal data with: cloud hosting and email providers; learning management or student information systems; accountants and auditors; and government or law enforcement when required by law. We require subprocessors to implement appropriate confidentiality and security measures and to process data only for the purposes we specify.

We do not sell personal information to third parties for their marketing purposes.

5. Data security

We implement administrative, technical, and organisational measures appropriate to the sensitivity of the data we handle—including access controls, encryption in transit for our services, staff training, and vendor assessments. No method of transmission over the internet is completely secure; we encourage you to use strong passwords and protect your login credentials.

6. Cookies and similar technologies

Our website may use cookies or local storage to maintain sessions (for example, after you log in), remember preferences, and analyse aggregate traffic. You can control cookies through your browser settings; disabling certain cookies may limit portal functionality. We may use analytics tools that set their own cookies subject to their policies.

7. Retention

We retain student and financial records for as long as necessary to fulfil educational and legal obligations—often including several years after a student leaves, in line with regulatory retention schedules. When retention is no longer required, we delete or anonymise data in accordance with our internal policies.

8. International transfers

Our primary systems are hosted in India or regions selected to meet applicable requirements. If data is transferred across borders (for example, to a cloud region), we ensure appropriate safeguards such as standard contractual clauses or adequacy decisions where required.

9. Your rights

Depending on applicable law, you may have the right to access, correct, or request deletion of certain personal data, or to object to specific processing. To exercise these rights, contact [email protected]. We will respond within reasonable timelines and may need to verify your identity. Some requests may be limited where we must retain data for legal or overriding legitimate purposes.

10. Children's privacy

We collect information about students through parents or guardians. If you believe we have inadvertently collected information from a child without appropriate authority, please contact us so we can take corrective action.

11. Updates to this policy

We may update this Privacy Policy to reflect changes in law or our practices. We will revise the "Last updated" date and, where changes are material, provide notice through the portal or email as appropriate.

12. Contact

For privacy-related questions or requests, write to [email protected] or call +91 80 4122 8800.
